We have recently updated our privacy policy, but also the way in which we process data in order to protect personal data in line with the new GDPR legislation in force from the 25th of May 2018.

On our website, we only collect information that is necessary to provide you with the service you request, but typically we collect your name, company name, telephone number, location details, email address and any other information you provide to us through our Contact form. In short, we only collect personal information about you and your company in order for Incognate to help you.

 

We absolutely will not sell your data to anyone. This Policy applies only to our web site and not to any web sites to which we show links.

We have created this email privacy policy to demonstrate our firm commitment to your privacy, protection of your information and so that we don’t end up simply annoying you!

 

Why did you receive an email from us?

Your data is stored in our CRM system, which is an online solution that creates an audit trail of any activity by both an account and at individual level.

 

How do we manage unsubscribe requests?

 

If you request that your details are removed from our database based on your ‘rights to be forgotten’, this is done immediately.  However, we retain proof of this removal, in the form of a GDPR-compliant audit trail from the system that shows that you have been removed, when and by whom, if proof is required.

 

Unsubscribe statement.

All outbound emails that Incognate sends always provide recipients with the option to unsubscribe on a clickable link beneath the signature “click here to unsubscribe”. This automates the completion of a tick box and will immediately stop you from receiving any further emails from Incognate.

We use security measures to protect against the loss, misuse and alteration of data used by our system.

 

Sharing and Usage

 

We will never share, sell or rent individual personal information with anyone without your advance permission or unless ordered by a court of law. Information submitted to us is only available to employees managing this information for the purposes of contacting you or sending you emails based on your request for information and to contracted service providers for purposes of providing services relating to our communications with you.

 

How can you stop receiving email from us?

 

Each email sent contains an easy, automated way for you to cease receiving email from us, or to change your expressed interests. If you wish to do this, simply follow the instructions at the end of any email.

 

Essentially, in agreeing to this policy, you consent to our collecting data about you, using it and contacting you in certain ways. In doing this, we aim to provide you with the best possible service, update you on new information posted to the site, and new products and services from Incognate.

Force24 Cookies & Tracking

 

Our organisation utilises Force24’s marketing automation platform.

Force24 cookies are first party cookies and are enabled at the point of cookie acceptance on this website. The cookies are named below:

 

• F24_autoID
• F24_personID

 

They allow us to understand our audience engagement thus allowing better optimisation of marketing activity.

f24_autoId – This is a temporary identifier on a local machine or phone browser that helps us track anonymous information to be later married up with f24_personid. If this is left anonymous it will be deleted after 6 months . Non-essential, first party, 10 years, persistent.

f24_personId – This is an ID generated per individual contact in the Force24 system to be able to track behaviour and form submissions into the Force24 system from outside sources per user. This is used for personalisation and ability to segment decisions for further communications. Non-essential, first party, 10 years, persistent.


The information stored by Force24 cookies remains anonymous until:

• Our website is visited via clicking from an email or SMS message, sent via the Force24 platform and cookies are accepted on the website.
• A user of the website completes a form containing email address from either our website or our Force24 landing pages.

The Force24 cookies will remain on a device for 10 years unless they are deleted.

Device & browser type and open statistics

All emails have a tracking pixel ( a tiny invisible image ) with a query string in the URL. Within the URL we have user details to identify who opened an email for statistical purposes.

Link Tracking

All links within emails and SMS messages sent from the Force24 platform contain a unique tracking reference, this reference help us identify who clicked an email for statistical purposes.
